Artificial Intelligence (AI) Usage Policy

“Kharazmi Journal of Earth Sciences” policy on the use of Generative Artificial Intelligence (GenAI)

Kharazmi Journal of Earth Sciences, recognizing the growing role of generative artificial intelligence (GenAI) tools in writing, editing, and data analysis, has established these guidelines to ensure the transparent, ethical, and responsible use of such technologies. The purpose of this statement is to safeguard scientific integrity, originality of work, and author accountability.
1. Principle of Accountability
All human authors bear full and final responsibility for the accuracy, originality, and ethical integrity of their manuscripts. Generative AI tools cannot be listed as authors, co-authors, or contributors, as they lack consciousness, accountability, and legal responsibility.
2. Mandatory Disclosure of GenAI Use
Any use of generative AI tools during the processes of writing, editing, data analysis, or image creation must be explicitly disclosed in the manuscript. The disclosure should specify the name and version of the tool, the nature of its use, and the extent of author review and oversight of its output.
Example statement for inclusion in a manuscript:
“During the preparation of this article, the authors used [tool name, version] for [describe purpose, e.g., improving language and clarity]. The authors reviewed and edited the content and take full responsibility for its accuracy and originality.”
3. Permitted Uses
Use of GenAI tools is permitted only under transparent disclosure and for the following purposes:
  • Improving grammar, readability, and writing quality, particularly for non-native writers;
  • Assisting in organizing ideas or summarizing literature;
  • Supporting the creation or debugging of analytical codes, provided that human verification and validation are performed.
4. Prohibited and Unacceptable Uses
The following uses of generative AI are strictly prohibited:
  • Creating or manipulating data, tables, figures, or fabricated references;
  • Writing core scientific sections (introduction, discussion, conclusion) without critical human review;
  • Using GenAI tools covertly without disclosure;
  • Rewriting the work of others without proper attribution (plagiarism);
  • Using public AI systems by reviewers or editors for manuscript evaluation.
5. Responsibilities of Editors and Reviewers
Editors and reviewers must not upload or share confidential manuscript content on any public AI platform. They must ensure confidentiality and protect authors’ intellectual property throughout the peer-review process.
6. Ethical and Legal Considerations
GenAI tools must not be used in a way that infringes on intellectual property rights, introduces bias, or causes scientific distortion. Authors are responsible for critically assessing all GenAI outputs and ensuring their scientific validity and accuracy before submission.
7. Consequences of Policy Violations
Failure to comply with this policy may result in:
  • Immediate rejection of the manuscript;
  • Issuance of an Expression of Concern or Retraction of a published paper;
  • Formal notification to the author’s affiliated institution.
8. Policy Review and Updates
Given the rapid evolution of AI technologies, this policy will be regularly reviewed and updated to align with the latest ethical, legal, and publishing standards in scholarly communication.
